After sending an email, you can export a CSV of all recipients along with their delivery status and engagement data. This is useful for following up with specific groups, auditing delivery issues, or keeping records.

How to Export

  1. Open a sent email from your Emails list
  2. Click the Recipients tab
  3. Click the Export button
The export runs in the background. When it’s ready, you’ll receive an email with a download link. The link expires after 7 days.

What’s Included

The exported CSV contains the following columns:
ColumnDescription
First NameThe recipient’s first name
Last NameThe recipient’s last name
Email AddressThe email address the message was sent to
StatusThe delivery status (e.g., Delivered, Opened, Clicked, Bounced, Complained, Did Not Send)
Did Not Send ReasonIf the email was not sent, the reason why (e.g., unsubscribed, no valid email, duplicate address)
ClickedWhether the recipient clicked a link in the email (Yes or No)
UnsubscribedWhether the recipient unsubscribed after receiving the email (Yes or No)
View in Planning CenterA direct link to the recipient’s profile in Planning Center, if available

Using Exported Data

A few ways you can use the exported recipient data:
  • Follow up on bounces by filtering the CSV to bounced recipients and reviewing their email addresses in Planning Center
  • Identify engaged readers by looking at recipients who clicked links
  • Audit unsubscribes to understand how many people opted out after a specific email
  • Review “Did Not Send” reasons to understand why certain people on your list were excluded
