Scheduled triggers send to everyone on a Planning Center list on a recurring basis, rather than reacting to an individual person’s activity. There are two options:
  • At a specific time each week — runs once per week on a day and time you choose
  • At a specific time each month — runs once per month on a schedule you choose
These are ideal for reminder emails like letting people know your online service is going live, asking group leaders to send in their attendance, and other emails that go out on a regular cadence.

Setting It Up

  1. Choose At a specific time each week or At a specific time each month.
  2. Pick the schedule (see below).
  3. Select the Planning Center list to send to and the email category.

Weekly Schedule

Choose a day of the week and a time. For example, “Every Friday at 8:00 AM.”

Monthly Schedule

Monthly triggers offer two scheduling patterns: Specific date (e.g., the 15th)
  • Choose a day from 1–31, or select Last day of the month.
  • Example: “On the 12th at 9:00 AM every month.”
  • Example: “On the last day of the month at 5:00 PM.”
  • If the selected day doesn’t exist in a given month (e.g., the 31st in April), the automation triggers on the last day of that month instead.
Relative date (e.g., 2nd Thursday)
  • Choose an occurrence (First, Second, Third, Fourth, or Last) and a day of the week.
  • Example: “Every 2nd Thursday at 10:00 AM.”
  • Example: “Last Friday of the month at 3:00 PM.”
For weekly and monthly triggers, the time is based on the timezone detected from your browser when you save the automation.

What’s Different About Scheduled Automations

Because scheduled automations send once to the whole list rather than running per person, their steps are simpler:
