# Internal Names vs. Subjects

> Understand the difference between an email's internal name and its subject line.

Every email in Flowforth has two ways to identify it: the **subject** and an optional **internal name**. Here's how they differ and when to use each.

## Subject

The **subject** is the text that appears in your recipients' inboxes. It's what people see before they open the email.

* Required for every email
* Visible to all recipients
* Set on the email detail page under **Subject**
* Supports [merge tags](/emails/merge-tags) for personalization

**Example:** `Easter Services This Weekend – Don't Miss It!`

## Internal Name

The **internal name** is a label only your team can see. It helps you organize and find emails in Flowforth without affecting what recipients see.

* Optional — you don't have to set one
* **Not visible to recipients** in any way
* Up to 100 characters
* Set by clicking the title/header at the top of the email detail page

**Example:** `Easter 2026 – Main Invite`

## How to Set an Internal Name

1. Open the email detail page for your email.
2. Click the title/header at the top of the page.
3. Type your internal name and save.

That's it — your internal name will now appear in the emails list and anywhere else you manage your emails.

## Why Use an Internal Name?

Internal names are especially helpful when:

* **You send similar emails regularly** — e.g. a weekly update. The subject might always be "This Week at Grace Church," but the internal name can be "Weekly Update – Mar 8" to tell them apart.
* **Your subject line is long or creative** — A catchy subject like "You Won't Want to Miss This 👀" doesn't tell your team much. An internal name like "Spring Volunteer Kickoff" makes it easy to find later.
* **Multiple people manage emails** — Internal names give your team a shared, clear way to reference emails regardless of the subject line.

## How They Appear in Flowforth

In the **Emails** list:

* If an internal name is set, it shows as the **primary label** with the subject displayed below it in smaller text.
* If no internal name is set, the **subject** is shown as the primary label.

When searching for emails, Flowforth searches the **internal name**, the **subject**, and the **content of emails you've sent**, so you can find an email using any of them.
